Payroll Specialist

Then this position might just be in your court!nn nn nn nnThe Pacific Northwest Section of the United States Tennis Association (USTA PNW) is a 501(c)3 not-for profit organization looking for a Payroll Specialist to serve the geographic-area tennis staff in Oregon, Washington, Idaho and Alaska.

The right candidate will have the opportunity to work remotely if he/she doesn’t live in the Portland, Oregon metro area.

This position is part-time, up to 25 hours per week based on workload.nn nn nn nn nn nn ABOUT USTA PNW nn nn nn nnEstablished in 1904, USTA PNW is one of 17 sections of the USTA and provides programs and services to 24,000 members, 200 organizational members, and through its RecTennis recreational programs, more than 40,000 participants all ages, abilities, and socio-economic levels.nn nn nn nnAs part of its model to create play opportunities as well as jobs and trainings for individuals to give back through the sport of tennis locally, USTA PNW employees more than 600 full-time, part-time, and seasonal staff to focus in primary program areas including Adult Competition, Junior Competition, and RecTennis programs in public parks and schools.

USTA PNW also oversee a menu of special events, championship tournaments, and platforms for individuals and teams to engage in the lifelong sport of tennis year-round.nn nn nn nnUSTA PNW expands mission-driven impact through tennis facility operations by revitalizing existing and/or expanding tennis brick and mortar infrastructure and includes operating, managing, and programming the revitalized facilities.

Fundraising and development efforts are undertaken to support increased resources for scholarships and Title I schools.nn nn nn nn n nn nn MAJOR DUTIES nn Perform daily payroll department operations.

Process all payroll information in ADP for bi-weekly submission.

Maintain up to date PTO and SICK records for eligible staff.

Manage payroll workflow to ensure all payroll transactions are processed accurately and timely.

Reconcile payroll prior to transmission and validate confirmed reports.

Handle employee questions about paychecks and assist with updates and changes to personal information.

Maintain and document all payroll records.

Conduct monthly audits to assure for accuracy.

Assist in reconciling general ledger with regard to all payroll transactions.

Reconcile payroll withholdings for voluntary deductions.

Review monthly billing statements and problem solve outstanding invoices.

Partner with Director of Accounting for all lost or returned checks for re-issue.

Process accurate and timely year-end reporting as necessary.

Other duties as assigned.

nn nn nn nn nn INTERNAL RELATIONSHIPS nn nnDirector of Human Resources & Culture, Director of Accounting, supervisors who assist in control of payroll, and all USTA PNW staff members.nn nn n nn nn EXTERNAL RELATIONSHIPS nn nnMaintains high quality customer service with participants and community members.

Works with vendors and as needed.

Represents the mission and organization at special events and trainings as needed.nn nn nn nn nn nn KEY PERFORMANCE INDICATORS nn nnWhen reviewing this position during the season, the following will serve as performance indicators:nn On-going feedback from leadership and participants.

nn nn nn nn nn QUALIFICATIONS nn Minimum 5 years experience in payroll.

Minimum of 2 years experience processing multi-state payroll.

Minimum of 2 years experience in ADP Workforce Now platform.

Proven strong organizational and communication skills.

Ability to deal sensitively with confidential material.

Strong self-starter experience.

Decision-making, problem-solving, and analytical skills experience.

Organizational, multi-tasking, and prioritizing skills experience.

Experience in successfully reaching goals and short timelines.

Strong computer and digital platform skills.

Ability to work independently and thrive under pressure.

Experience in bookkeeping, accounting or equivalent desired.

nn nn nn nn nn CONDITIONS OF HIRE nn Must have ability to pass background check.

Must complete the required USTA SafeSport online education course.

nn n nn nn TRAVEL DEMANDS nn nnTravel across assigned area to promote and develop programs, attend various events, meetings, trainings, and to Beaverton, OR office as needed.

nn nn nn nn n nn nn PHYSICAL REQUIREMENTS + WORK ENVIRONMENT nn This position will most likely be a mix of home-office and if local, the Beaverton Oregon office.
