Business/Systems Analyst 1 – UMD Office of the Registrar

This is a Contract position in Salem, OR posted August 19, 2021.

Qualifications Required Qualifications: A BA/BS degree in a related field or a combination of related education and work experience equal to 4 years experience in business or systems process analysis Six months to one year of work or hands-on project or education experience in the areas of business systems process analysis, programming and implementation.

Preferred Qualifications: Programming experience with uAchieve and/or Oracle’ s Campus Solutions products Experience with working in higher education business information systems and developing queries, updating data in mass, troubleshooting, and delivering user-friendly reports Experience with MS Office and/or Google WorkSpace Experience with writing business process documentation and specifications Demonstrated ability to manage small to medium sized projects Ability to engage stakeholders in meaningful and effective ways Demonstrated collaboration, teamwork, and leadership in an educational setting Demonstrated ability to effectively manage schedules and produce reports Demonstrated ability to operate with a high level of independence, routinely make decisions, and exercise sound judgment Demonstrated commitment to equal opportunity About the Job Business Analysts clarify the business needs of a group of stakeholders and help find solutions to meet those identified needs.

They think creatively, anticipate needs, test solutions and describe defects to system functionality.

Additionally they monitor processes and help troubleshoot when problems arise.

Business and Systems Analysts provide leadership and support for academic student services that rely on the interaction and development of student information systems and data analytics.

The work will include supporting one of the key service areas within the Office of the Registrar deliverables such as scheduling, registration, transfer of credit, dual enrollment, or reporting and analytics.

Daily operations requires knowledge of student records business processes and the ability to lead change management and communication with diverse audiences.

A strong candidate will have six months to a year or more experience of programming and development in Microsoft business toolsets, Google suite technologies, Oracle/PeopleSoft, uAchieve degree audit and/or other common tools and programming languages.

Experience with the University of Minnesota and a general knowledge of Higher Education academic programs, policies and student records practices is preferred.

This person will daily use strong technical and non-technical oral and written communication skills in direct support of UMD’s strategic mission.

They will work with students, but may not on a daily basis.

The work of this position requires collaboration with others in teams.

This work includes assessment of current and future needs, making sustainable technology recommendations, and the ability to implement best practices, and support academic record and information compliance including quality control procedures, testing and record audits.

This position may supervise student employees, including mentoring and assisting in the coordination of professional development.

Essential Job Functions, Duties & Responsibilities: Business & Systems Analysis (30%) Develop a deep understanding of the relationships of student records related systems and provide direct support in one of the major service areas including Oracle/Campus Solutions, curricular systems (PCAS, ECAS), transfer or degree audit systems (TES, DARS, uAchieve), etc.

Assess academic policy, requirements, processes, and systems to identify issues that may impede students’ progress toward their degree and academic objectives Analyze, design, program/encode, test, and troubleshoot information systems and student academic records within a major service area Assist with creating detailed test plans.

Executes and documents test plans, statistics, metrics, and results Support Office of the Registrar business process operations, assisting others or providing direct services in the areas of information system research and support, operational calendar maintenance , scheduling and troubleshooting technically complex batch jobs including error report reconciliation Develop skills and knowledge to analyze, design, and maintain operational student records data analytics and the operational schedule for one of the major service areas Gather information for departmental analytics and assists in the preparation of the departmental annual report Understand and use best practices and industry standards for the benefit of students, staff, and faculty and external stakeholders Communication (30%) Work with users and technical support teams to troubleshoot production and application issues within one of the major Registrar service areas Evaluate and follow through on issues and problems until resolved or escalated Develop information to support decision making and illustrate processes; including workflows, charts, graphs, heat maps, etc.

Assist and collaborate with various stakeholders on needs assessment with academic policy, business practices, and student information systems Translate functional needs into technical specifications and works with experienced analysts on information system setup, enhancements, modifications, and troubleshooting Write test plans and functional documentation Assists in provide team leadership, including effective communication and participation in staff activities Prepare effective documentation and training materials and coordinate and/or deliver ongoing training Communicate in an effective and timely manner Special Projects (30%) Work in collaboration with the central Academic Support Resources (ASR) team and experts from other University of Minnesota campuses in one of the Registrar major service areas.

Evaluate and follow through on issues and problems that require the ability to manage scope, timeline and resources to meet system wide or local project deliverables that are both technical and operational connected to our robust and complex student information systems Assist in providing resolution to system-wide integration problems; understand and implement best practice options for system efficiency and effectiveness Contribute to departmental efforts in the areas of system evolution, minor and major upgrades, investigation and adoption of new services Support established processes to assure data and process integrity, monitor for process improvement and efficiencies Leadership (5%) Work with others to recommend short and long-term goals for the department; participate in the ongoing delivery of departmental objectives which align with the campus and university missions Identify and promote student records, admissions, enrollment services and academic unit processes that will improve overall service quality Assist with providing qualitative and quantitative data to support data driven decisions and ensure achievement of strategic enrollment management goals Use best practices and change management processes Grow a broad understanding of interrelated business processes.
