LAS Dean’s Assistant and Office Coordinator

The College of Liberal Arts and Sciences (CLAS) is a vibrant and growing academic unit at Portland State University. The Dean’s Assistant and Office Coordinator is responsible for the general administration of the Dean’s office and for providing administrative support to the CLAS Leadership Team. Beyond coordinating the administrative function of the Dean’s Office, the Dean’s Assistant and Office Coordinator will coordinate College events, make travel arrangements for the CLAS Leadership Team, and will coordinate the scheduling of meetings for the CLAS Leadership Team.

The position provides administrative and communication assistance to the CLAS Leadership Team and is supervised by the Dean’s Executive Assistant. It is critical that this position embodies a strong commitment to serving internal and external customers along with a deep understanding and enthusiasm for the mission of the College.

Minimum Qualifications

Three years of clerical/secretarial experience which included:

  • one year at a full performance level performing typing, word processing, or other generating of documents; AND
  • lead work responsibility or coordination of office procedures.
  • Courses or training in Office Occupations or Office Technology may be substituted for up to one year of the clerical/secretarial experience.

No substitution will be made for the one year at the full performance level.

  • Scheduling support experience for executives via electronic calendaring system.
  • Computing proficiency, using Microsoft Office and Google Suite.
  • Good problem-solving skills.
  • Demonstrated organizational skills.
  • Proven ability to work on multiple tasks with various deadlines.
  • Experience performing very detailed tasks with high level of accuracy.
  • Successful completion of background check.

Preferred Qualifications

  • Word processing and data entry/inquiry skills.
  • Excellent customer service skills.
  • Experience working in a public or reception area.
  • Experience with working with a diverse population of customers.
  • Knowledge of Google Suite.
  • Accounting knowledge or experience.
  • Knowledge of Banner accounting system.
  • Two years of experience in higher education.
  • Demonstrated experience mentoring student employees.

Total Compensation Range & Benefits Statement

The starting annual salary rate for this position will be between $15.81 and $17.91 per hour. The starting salary may be negotiable above this range, however it will be dependent upon the knowledge, experience, skills and abilities of the chosen candidate, the budget of the hiring department, and approval from HR.
